Cadence Group performed a thorough Records Management Program Assessment in 2003, and recommended enhancements to policy, procedure and process in order to support the client’s overall Records Management strategies and initiatives. Cadence Group subsequently took over the operation and management of the client’s Corporate Records Center for active and inactive records for seven years. The Recommendations addressed compliance, retention, vital records, and security for both active and inactive paper and electronic records. In addition to the daily operations of the Corporate Records Center, Cadence Group’s consulting division continues to work with the client to support project efforts and next steps in the implementation of recommended program improvements.
During project startup, Cadence Group performed the evaluation, selection, and implementation of the technology required to perform scanning, optical character recognition (OCR), quality control (QC), and uploading of images into an existing Documentum document management repository. We also created a custom database application solution to facilitate the management of the Corporate Records Center. The system manages classification, retention, circulation, and batch importation. In addition, the application can track and report key information such as contract renewal dates and associated financial obligations.
As a result of a merger, the client is evaluating Enterprise Contract Management Systems. Cadence Group is participating in this effort through the development of a 20-page functional requirements document for the Corporate Records Center and on-going product evaluations. Cadence Group currently staffs the Corporate Records Center for active and inactive records.
