Key Elements for Success with Cleaning Electronic Records

Congratulations! You’ve helped your organization recognize the importance of gaining control over the various repositories of records and information across the enterprise. The first question becomes: how do we effectively address this challenge?

Focusing staff for cleaning electronic records

Planning, executive sponsorship, department and office buy-in, change management, training, and expert support are all critical components for success.  But how does the Project Manager approach the task logistically.  Managing the initiative is no small feat. One of the first steps is to work with management to identify primary and secondary points of contact in each department or office. If you already have records coordinators and/or liaisons, great!  However, ensure your Points of Contact are technically comfortable with manipulating files on the network share drives, Microsoft 365 (if it’s part of your environment), and any other systems managing documents.

If your contacts are more comfortable with physical records operations, you may need to identify Electronic Records Coordinators. These coordinators can serve as primary contacts, while the old coordinators or liasons can take on secondary roles.
