Following a sequential System Development Life Cycle (SDLC) methodology, Cadence Group (CG) developed a solution for the management of records and information at an independent federal government corporation.  After initial planning was finalized, CG completed an information management assessment, data analysis, workflow analysis, and requirements definition. CG evaluated SharePoint 2010 and 2013 for shortcomings in 1) compliance and 2) functionality to support the users as well as administrators. Records management compliance capability is delivered out-of-the-box at the document level, but not supported at the case or folder level and life-cycle management is inefficient and creates a barrier to adoption.

CG presented results and recommendations for approval, and then completed the technical specifications and design for a solution to manage unstructured information for the corporation. The solution includes a full set of online views that offer actionable information, including status and activity levels for documents and cases/folders. CG also developed an information architecture, procedures and training materials, and delivered training.  The design and governance recommendations were presented for approval. Custom web application plugins were designed to leverage the user friendly interface of MS SharePoint 2013, while providing efficient processes and ease of use for both daily workflows, as well as lifecycle management of documents and files over time.  In addition, CG developed SharePoint upgrade and migration guidelines, as well as detailed specifications for the configuration of sites, libraries, content types, and user groups to support the needs of the client. Custom Plugins were designed and prototyped on hosted SharePoint servers outside of the corporation while their full-time employees were responsible for implementing a separate SharePoint server farm for the client to ensure separation and security.  The SharePoint upgrade to 2013, testing and Implementation of the Custom Plugins will be performed on the client’s servers (not within the scope of this contract).
